What personal data we process — and why

We process personal data in two distinct contexts:

A. Visitors to this website

When you visit vytrixdata.com we may collect basic technical data (IP address, browser type, pages visited) for security and analytics. If you submit an enquiry or opt-out form we collect the contact details you provide, solely to respond to your request. We do not use tracking pixels or sell visitor data to third parties.

B. Data subjects in our B2B inventory

Our core business involves processing business contact information (names, job titles, work email addresses, direct phone numbers, LinkedIn profiles) relating to employees of commercial organisations. We process this data on the basis of legitimate interest to support B2B sales, marketing and market research activities.

We collect this data from publicly available sources, licensed data partners, and professional networks. We do not knowingly collect or process special-category personal data, personal data relating to individuals under 18, or consumer (non-business) data.

03

How long we keep data

Business contact records are retained for a rolling 24-month window from the date of last verification, after which records are either re-verified or removed from active inventory. Records subject to a suppression or erasure request are removed from active inventory within seven working days and retained on our suppression list indefinitely to prevent re-ingestion.

Website enquiry data is retained for 12 months from the date of submission, unless a longer retention is required to fulfil a contract or comply with a legal obligation.

04

Who we share data with

We supply business contact data to our customers under contract. Customers are responsible for their own lawful basis for the marketing or outreach activity they conduct using Vytrix-supplied records. We do not sell data to brokers or data exchanges.

We may share data with our infrastructure sub-processors (cloud storage, email delivery) under appropriate data processing agreements. A list of current sub-processors is available on request.

05

International transfers

Our primary processing location is India. For data transfers to and from the EU, UK and other jurisdictions with specific transfer restrictions, we rely on standard contractual clauses or equivalent transfer mechanisms as applicable. Full transfer documentation is available to customers on request under NDA.

06

Your rights

Depending on the jurisdiction applicable to your data, you may have the right to:

  • Access a copy of the personal data we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Request erasure of your data from our active inventory.
  • Object to processing on the basis of legitimate interest.
  • Request suppression (opt-out) so your details are not included in future deliveries.
  • Lodge a complaint with the relevant supervisory authority in your jurisdiction.

All requests can be made directly to us — you do not need to contact the marketer or organisation that reached you using our data. Requests are actioned within seven working days and are free of charge.

Security

We use AES-256 encryption at rest for all stored data and TLS 1.2+ for data in transit. Access to personal data is role-based and reviewed quarterly. Our data governance lead oversees security controls and incident response. We do not claim any external certification on this page — audit documentation is available under NDA for enterprise customers and procurement teams.

08

Changes to this policy

We update this policy when our practices change. The “last updated” date above reflects the most recent revision. Material changes affecting data subjects in our inventory will be noted in customer communications.
